Purpose of the Role
The Grants & Compliance Associate plays a vital role in supporting GMH’s grant-making operations throughout the entire lifecycle of grants. From initial due diligence to monitoring and closeout, this position ensures that grant processes align with organizational standards, legal requirements, and best practices.
The core responsibilities include conducting thorough due diligence on prospective grantees, managing grant compliance, maintaining accurate records, and supporting the operational aspects of grant administration. The role demands meticulous organizational skills, analytical prowess, and the ability to communicate effectively with international partners and internal teams.
This is a remote role, offering flexibility and requiring collaboration across different time zones, with a preference for working within +/- 4 hours GMT.
Key Responsibilities
Due Diligence & Risk Assessment
- Conduct comprehensive due diligence on potential grantees, including reviewing financial statements, audits, legal registrations, governance documents, and oversight systems.
- Perform sanctions screening, anti-money laundering checks, and conduct equivalency assessments for international grants.
- Evaluate financial, operational, legal, and compliance risks using GMH’s risk assessment tools, compiling findings into detailed reports.
- Maintain and update due diligence frameworks, templates, and standard operating procedures, customizing them based on grant size and complexity.
- Prioritize workload effectively, ensuring timely completion of multiple concurrent reviews.
- Manage grant applications within the Fluxx grants management system, ensuring data accuracy and tracking application statuses.
Grant Administration & Compliance
- Execute grant agreement processing, coordinate payments, and maintain well-organized grant files suitable for audits.
- Track expenditures against budgets, reporting variances to the Senior Grants Manager.
- Ensure data collection and storage adhere to GDPR standards.
- Monitor grant reporting schedules, follow up with internal teams, and review reports to verify completeness and compliance.
- Flag issues related to grant performance or documentation that may require legal review.
- Manage intermediary reports on sub-grantee performance and compliance, escalating concerns as needed.
Grants Management & Systems
- Input, update, and maintain accurate grant data within the Fluxx system throughout the grant lifecycle.
- Generate reports, extract data, and analyze compliance metrics for internal use.
- Provide technical support to grantees and staff on Fluxx functionalities.
- Maintain documentation and user guides related to grants management processes.
- Contribute to ongoing system improvements and process optimizations.
Support & Collaboration
- Respond promptly to inquiries from GMH program teams and grantees regarding due diligence, compliance, and reporting.
- Build and maintain positive relationships with internal teams and external partners.
- Manage grant reporting deadlines proactively, ensuring timely submissions.
- Offer process improvement suggestions based on hands-on experience.
- Assist in preparing agendas and supporting materials for internal grant review meetings.
- Perform any additional duties as assigned by management to support organizational objectives.
Candidate Profile

- Bachelor’s degree or higher in a relevant field such as international development, environmental science, law, or related disciplines.
- Minimum of 3 years’ professional experience in grant management, compliance, due diligence, or similar roles, preferably within international development or philanthropy sectors.
- Experience with grant management platforms, especially Fluxx, or similar systems.
- Proven ability to conduct rigorous financial and organizational risk assessments across different regions, including Latin America, Asia, or Africa.
- Strong analytical skills with keen attention to detail, capable of identifying discrepancies and potential risks.
- Excellent project management skills, with the ability to manage multiple grants and deadlines simultaneously.
- Knowledge of international grant regulations, compliance standards, and best practices.
- Exceptional written and verbal communication skills in English.
- Diplomatic, culturally sensitive, and able to work effectively in diverse, international teams.
- Passionate about climate change mitigation and sustainable development.
Terms and Conditions
This position is full-time (40 hours/week) and remote, with considerable flexibility needed to coordinate with teams across different time zones. The role may involve international travel (~10%) for stakeholder engagement and site visits.
The salary package is benchmark against location, ranging from US $46,000 to $58,000 annually. Candidates must have the legal right to work in their country of application.
