EARMA is the European Association of Research Managers and Administrators dedicated to supporting research professionals across Europe.
As a non-profit organization based in Brussels, EARMA organizes conferences, training programs, and events to enhance research management.
With over 35 years of experience, EARMA boasts 350 institutional members and 9,000 individual contacts, contributing significantly to scientific and societal progress.
Key Responsibilities
Event Support and Management
- Assist in preparing and executing online and in-person events
- Update the events calendar, including photos, biographies, and descriptions
- Communicate with attendees and support webinar setup
- Provide on-site support during events and assist with venue setup
- Organize EARMA board meetings
- Support logistics for the annual conference, including registration, partner coordination, and onsite activities
- Manage conference programme updates and speaker relations
Communication and Content Creation
- Act as a liaison for online and in-person event updates
- Write content for newsletters, website, and social media
- Prepare communication materials and visuals
- Draft post-event summaries and reports
- Respond to member queries and support member engagement activities
Administrative Support
- Manage databases, surveys, and schedules
- Support visa letter requests, flight bookings, and venue comparisons
- Assist with award applications and member communications
- Use digital tools such as Notion, Microsoft Office, Zoom, and conference apps

- Independent team player with a proactive attitude
- Fast learner with creative thinking skills
- Thrives in dynamic, fast-paced environments
- Fluent in English
- Problem solver with a passion for events and communication
- No visa requirements for working in the EU
