    This permanent opportunity is based in Gauteng and offers experienced records administration professionals the chance to contribute to effective information and records management within one of South Africa’s leading development finance institutions.

    The successful candidate will play an important role in managing the organisation’s records throughout their lifecycle, ensuring that information is properly classified, securely stored, easily retrievable, and managed in accordance with approved records management policies and legislative requirements.

    About the Role

    The Records Administrative Officer will be responsible for supporting the day-to-day administration of organisational records across both physical and electronic formats.

    The position ensures compliance with records management standards while improving operational efficiency and supporting informed decision-making across the organisation.

    The role also contributes to information management initiatives that strengthen governance, compliance and effective recordkeeping practices.

    Key Responsibilities

    The successful candidate will be expected to:

    • Support the implementation of records and information management disciplines across the organisation.
    • Assist with records classification, quality management, metadata management and records retention processes.
    • Compile inventories of records received in paper, electronic and other formats.

    • Classify, index and store records according to the approved File Plan and Records Procedure Manual.
    • Maintain accurate records within the electronic records management system.
    • Assist with the appraisal, retention and disposal of records.

    • Support the implementation and maintenance of approved file plans.
    • Scan and upload physical records into the electronic records management system using accurate metadata.
    • Conduct routine inspections of physical client correspondence files.

    • Maintain updated records of all new client correspondence received.
    • Respond to internal requests for retrieval of records.
    • Participate in departmental records management projects and continuous improvement initiatives.

    Minimum Qualifications

    Applicants should possess:

    • Matric (Grade 12).
    • A relevant post-matric administrative qualification (Diploma).
    • Between 2 and 5 years of relevant experience within a records management environment.

    Required Knowledge and Technical Skills

    Candidates should demonstrate:

    • Strong knowledge of SharePoint and SAP.
    • Proficiency in:
      • Microsoft Word
      • Microsoft Excel
      • Microsoft PowerPoint
      • Microsoft Outlook
      • Microsoft Teams
    • Knowledge of an Electronic Document and Records Management (EDRM) system will be an added advantage.
