Job Title: Project Management Assistant
Location: ICT-Core premises in Seville, Spain

Contract: Part-Time, 6 months, with potential for extension based on project funding

Job Summary

Supporting administrative, financial, and documentary management of national and European research and innovation projects in Seville, Spain, ensuring compliance, coordination, and efficient project operations under Horizon Europe and other funding schemes.

Key Responsibilities

Financial and Administrative Management

• Collect and review supporting financial documentation and expense records
• Monitor project budgets and allocations
• Support tracking and reporting of timesheets and personnel costs

• Coordinate with finance and administration departments for expense allocation
• Prepare supporting documentation for audits and financial reviews

Stakeholder and Project Coordination

• Organize meetings, prepare agendas, and record minutes
• Communicate with international project partners and stakeholders
• Manage emails and collaborative platforms
• Maintain and update project databases and documentation

Procurement and Contracting Support

• Assist in preparing tender documentation and procurement processes
• Support monitoring of public procurement procedures and administrative tasks

Candidate Requirements

• Bachelor’s degree in Business Administration, Finance and Accounting, International Relations, or Higher Vocational Training qualification in Administration and Finance
• Minimum C1 level in English
• 1–3 years of experience in project administrative management

• Proven experience with grants, subsidies, or public funding schemes
• Proficiency in Microsoft Excel, Word, PowerPoint, and collaborative document management tools
• Highly valued: experience in European-funded projects, supporting audits, CRM/ERP systems, and knowledge of Horizon Europe and ERDF/FEDER programmes

Application Process

The successful candidate will be appointed for six months, with a gross salary ranging from €12,500 to €15,000, based on qualifications and experience. Employment is in accordance with Spanish law, with a 180-day probation period.
