The U.S. Department of State (DOS) has announced a new opportunity for an Administrative Assistant based in Pretoria, South Africa, offering professionals with administrative and office support experience the chance to contribute to international humanitarian assistance and disaster response operations.
The position is being recruited through the Humanitarian Assistance Support Contract (HASC) and delivered by Team Credence. It is a full-time, on-site contract role, with applications closing on 7 August 2026.
The successful candidate will provide administrative, operational, and logistical support to the Department of State’s Bureau of Disaster and Humanitarian Response (DHR) while helping maintain the United States Government’s global humanitarian response capabilities.
The Humanitarian Assistance Support Contract (HASC) provides institutional support, operational expertise, and technical leadership for the U.S. Department of State’s humanitarian assistance, disaster response, and foreign assistance programmes across multiple bureaus.
The Administrative Assistant will work from Pretoria, supporting the DHR office with day-to-day administrative functions that enable humanitarian operations and emergency response activities.
Although day-to-day supervision will be provided by a designated Department of State Government Technical Manager (GTM), formal performance management will be handled by a Team Credence contract supervisor.
The salary will be based on the local compensation equivalent to a Foreign Service National (FSN-08) position in South Africa.
The successful candidate will provide comprehensive administrative support across a wide range of operational functions.
Responsibilities include:
• Managing office calendars and coordinating staff schedules.
• Arranging domestic and international travel for DHR staff and U.S. Government officials.
• Processing travel authorisations, visas, country clearances, accommodation, transport, travel vouchers, and locator requests.
• Processing administrative requests through Department of State systems, including ILMS, myServices, e-Travel, and Regional Security Office (RSO) access requests.
• Organising meetings, workshops, conference calls, and official events.
• Preparing meeting agendas and coordinating logistical arrangements.
• Maintaining contact databases and serving as a point of contact for internal and external stakeholders.
• Taking meeting notes and providing administrative support during official events.
• Establishing and maintaining electronic filing systems and document repositories.
• Supporting onboarding processes for newly recruited and temporary duty staff.
• Drafting, editing, reviewing, and coordinating administrative and technical documents.
• Assisting with document clearance processes.
• Researching, collecting, and analysing information to support operational requests.
• Compiling reports, trip summaries, quarterly reports, and data submissions.
• Tracking management tasks to ensure deadlines are achieved.
• Managing records in accordance with federal records retention policies.
• Maintaining databases while ensuring data quality and accuracy.
• Escorting official visitors and guests.
• Managing staff Time and Attendance (T&A) records.
• Obtaining supplier quotations and preparing purchase orders for office supplies.
• Performing additional administrative duties as assigned.
The role may also require regional or international travel to support humanitarian and disaster response operations when necessary.

• Bachelor’s degree in a relevant field.
• One to two years of experience in administrative support, office management, or executive assistance.
The role is particularly suited to early-career professionals seeking experience within international humanitarian operations.
Candidates should demonstrate:
• Proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
• Experience using travel management systems, workflow platforms, expense management systems, or similar administrative tools.
• Strong written communication skills with the ability to prepare professional correspondence and administrative documentation.
The Department of State notes that the following experience will be considered an advantage:
• Previous experience with the U.S. Federal Government.
• Familiarity with the Foreign Affairs Manual (FAM).
• Knowledge of U.S. overseas diplomatic missions and embassy operations.
• Understanding of U.S. Federal Travel Regulations.
• Experience in international development programmes.
• Experience supporting humanitarian assistance operations.
