    About the Travel & Contracting Officer Position

    The Travel & Contracting Officer will coordinate travel administration, staff deployment, and contract management for employees working through the MSF Eastern Africa Office.

    Reporting to the Travel and Mobile Staff Deployment Team Leader, the successful candidate will ensure efficient coordination of travel logistics, visa processes, work permits, contract administration, and employee mobility while supporting the organization’s humanitarian operations.

    The position plays a vital role in ensuring staff can be deployed efficiently and compliantly across MSF programmes.

    Key Responsibilities

    The successful candidate will manage a broad range of administrative, travel, and contract management responsibilities, including:

    Travel and Administrative Support

    • Coordinate staff travel arrangements and mobility.

    • Draft and support implementation of travel and movement policies.

    • Serve as the primary contact for travel-related administrative matters.

    • Coordinate visa applications, work permits, residence documentation, and travel administration.

    • Maintain communication with regional protocol offices and embassies.

    • Prepare travel documentation and administrative correspondence.

    • Support medical travel arrangements alongside the Staff Health Officer.

    • Coordinate accommodation and hotel bookings.

    • Manage travel records and deployment information.

    • Support organization of meetings, workshops, and training events.

    • Assist with administrative requirements for international deployments.

    Staff Deployment Management

    • Coordinate domestic and international flight bookings.

    • Arrange accommodation for travelling staff.

    • Prepare travel documentation.

    • Manage travel expense authorizations and per diem processing.

    • Maintain accurate staff movement databases.

    • Coordinate work permit and immigration documentation for international employees.

    Contract Management

    • Coordinate end-to-end administration of mobile staff contracts.

    • Prepare employment contracts, amendments, renewals, and extensions.

    • Support onboarding and offboarding processes.

    • Liaise with Human Resources, Finance, and operational teams.

    • Monitor contract timelines and maintain contract tracking systems.

    • Coordinate legal documentation, including work permits and social security registration.

    Additional Responsibilities

    • Promote diversity, equity, inclusion, and safeguarding principles.

    • Participate in performance management activities.

    • Support critical incident management when required.

    • Ensure compliance with organizational policies and procedures.

    Qualifications

    Applicants should possess:

    • Bachelor’s degree in Human Resource Management, Administration, Tourism, or a related field.

    • Strong Microsoft Office skills, particularly Excel and PowerPoint.

    • Excellent internet and online systems navigation skills.

    Experience Requirements

    Candidates should demonstrate:

    • Minimum of two years of experience in a similar administrative or travel coordination role.

    • Experience within travel agencies, airlines, event coordination, visa processing, or work permit administration.

    • Previous experience with humanitarian organizations or non-profit institutions is considered an added advantage.

    • Prior experience with MSF is desirable but not mandatory.

    Salary and Benefits

    MSF Eastern Africa offers a comprehensive remuneration package, including:

    • Open-ended full-time employment contract.

    • Annual salary of EUR 18,476.

    • Annual salary increment of 2%, up to ten years.

    • Monthly work-life balance benefit ranging from EUR 247–295, depending on administrative status.

    • Twenty-five days of annual leave.
