    Universities South Africa (USAf) is seeking to appoint two experienced Project Administrators to provide vital administrative support for donor-funded projects within the Operations and Sector Support Directorate.

    Job Title: Project Administrator (X2)
    Location: Pretoria, South Africa
    Closing Date: 06 July 2026
    Contract: One-year fixed-term contract
    Remuneration: Market-related salary package

    These roles are ideal for professionals with a background in Finance, Information, Business Administration, or related fields, accompanied by 5-6 years of administrative experience.

    The successful candidates will contribute to the effective management of projects, ensuring compliance, stakeholder engagement, and efficient reporting.

    Key Responsibilities

    Project Coordination & Administration

    • Support planning, implementation, and monitoring of bursary programmes
    • Maintain project schedules, trackers, and milestone reports
    • Coordinate meetings, workshops, and stakeholder engagements
    • Prepare agendas, minutes, and follow-up actions

    Learner & Beneficiary Management

    • Assist with recruitment, onboarding, and registration of bursary beneficiaries
    • Maintain accurate learner records and databases
    • Track student progress, attendance, and performance
    • Provide administrative support regarding documentation and queries

    Compliance & Documentation

    • Ensure project documentation meets SETA policies and requirements
    • Maintain electronic and manual filing systems for audits and reporting
    • Assist in compiling reports for SETA, funders, and internal stakeholders
    • Monitor submission deadlines and ensure funding compliance

    Financial Administration Support

    • Support processing of learner stipends, invoices, and payments
    • Track bursary expenditure against budgets
    • Assist in reconciling financial records

    Stakeholder Engagement & Reporting

    • Liaise with training providers, learners, SETA officials, and internal departments
    • Respond to stakeholder queries and facilitate communication
    • Compile progress reports and assist with audit preparations

    Requirements

    • Relevant diploma or bachelor’s degree in Finance, Information, Business Administration, or related fields
    • 5-6 years of administrative experience in project management or office environments
    • Experience in handling inquiries and maintaining efficient record-keeping systems

    • Proficiency in Microsoft Office (Outlook, Word, PowerPoint, Advanced Excel, Adobe Acrobat)
    • Knowledge of project management software (advantageous)
    • Experience in a SETA environment is a plus
