    The Accountant / Administration Officer position at Environmental Alert is a short-term, full-time role based in Kampala, Uganda. The position supports financial management, administrative operations, and compliance processes within the organisation.

    Operating under the supervision of the Manager – Finance & Administration, the role is critical in ensuring efficient financial systems, accurate reporting, and smooth day-to-day office operations. The appointment is for a fixed term ending on 31 October 2026, subject to organisational needs and funding availability.

    Purpose of the Position

    The primary purpose of the Accountant / Administration Officer is to provide structured and guided support in implementing institutional policies related to finance and administration. The role ensures that the organisation maintains strong financial controls, complies with statutory obligations, and operates efficiently.

    The position contributes to:

    • Strengthening financial accountability systems
    • Supporting budget planning and expenditure tracking
    • Ensuring compliance with donor and statutory requirements
    • Enhancing administrative efficiency and operational effectiveness

    Key Responsibilities

    The role combines financial management, administrative coordination, and operational support. Responsibilities are structured across several functional areas.

    Financial Management and Accounting

    • Maintaining a computerized accounting system using QuickBooks
    • Supporting the preparation and monitoring of organisational budgets
    • Strengthening internal financial controls and systems
    • Preparing periodic financial reports
    • Conducting monthly bank reconciliations and preparing trial balances

    Payments, Payroll, and Compliance

    • Verifying and processing payments in line with policies
    • Managing cash flow and banking transactions
    • Preparing payroll and statutory deductions, including NSSF, PAYE, and withholding tax
    • Maintaining accurate financial accountability records
    • Ensuring compliance with statutory and donor requirements

    Procurement and Asset Management

    • Supporting procurement processes in accordance with organisational guidelines
    • Maintaining procurement documentation and records
    • Managing organisational assets and facilities
    • Overseeing inventory, stores, and stock records

    Administration and Office Operations

    • Monitoring utilities and administrative services
    • Maintaining both physical and electronic filing systems
    • Ensuring a clean, organised, and functional office environment
    • Managing reception and front desk operations

    Governance and Additional Duties

    • Supporting logistics and documentation for Board meetings
    • Performing additional duties as assigned by the supervisor

    Terms and Conditions of Employment

    The position is governed by the Human Resource policies of Environmental Alert and includes the following conditions:

    • Duty station: Kampala, with occasional field travel
    • Full-time engagement required
    • Annual performance appraisal
    • One-month notice period for termination
    • All work produced remains the property of the organisation

    Duration of Appointment

    The role is a fixed-term contract with the following timeline:

    • Start date: Immediate
    • End date: 31 October 2026
    • Total duration: Approximately five months

    Continuation of the role is dependent on funding and organisational priorities.

    Qualifications and Requirements

    Candidates must demonstrate a combination of academic qualifications, technical expertise, and professional competencies.

    Educational Requirements

    • Bachelor’s degree in:
      • Accounting
      • Finance
      • Business Administration
      • Or a related field
    • Professional certification such as CPA or ACCA (partial or full) is an added advantage

    Professional Experience

    • Experience in accounting and administration roles
    • Prior experience in the NGO or development sector is preferred
    • Familiarity with financial systems such as QuickBooks or similar software

    Skills and Competencies

    • Strong analytical and organisational skills
    • High level of integrity and accountability
    • Attention to detail and accuracy
    • Ability to manage multiple responsibilities effectively
    • Strong understanding of financial compliance and reporting standards
