    Role Overview

    The Operations and Grants Manager will be part of GRP’s Operations and Finance Team, reporting directly to the Operations Director. The role is primarily remote but offers the option of being based in Cape Town or Stellenbosch, South Africa.

    This position is responsible for overseeing organizational operations, grants, procurement, and contract management, ensuring compliance with donor requirements and internal policies.

    The successful candidate will play a central role in maintaining smooth internal processes while supporting program teams and partners.

    Key Responsibilities

    Grants Management

    The Operations and Grants Manager will oversee the full grant lifecycle, including:

    • Proposal review and due diligence
    • Grant awards and implementation monitoring
    • Compliance checks and reporting
    • Grant close-out processes

    They will also interpret donor agreements and ensure alignment with regulations from major funders such as EU institutions, UN agencies, and bilateral donors.

    Additional responsibilities include:

    • Maintaining grant tracking systems and tools
    • Supporting program teams and partners on compliance requirements
    • Monitoring budgets, expenditures, and deliverables
    • Ensuring timely submission of financial and narrative reports

    Operations Management

    A core part of the role involves ensuring efficient day-to-day organizational operations, including:

    • Developing and maintaining operational policies and standard operating procedures (SOPs)
    • Supporting HR administration, onboarding, and contractor management
    • Managing organizational assets and vendor relationships
    • Coordinating internal events, meetings, and retreats
    • Monitoring operational risks and supporting business continuity planning

    The role also includes supporting fiscal sponsorship arrangements and ensuring organizational processes run smoothly across departments.

    Procurement Responsibilities

    The position will lead procurement processes to ensure value for money and compliance, including:

    • Developing and enforcing procurement policies
    • Managing tendering processes, bid evaluations, and vendor selection
    • Negotiating contracts and maintaining procurement documentation
    • Building and managing a vendor database with due diligence records
    • Training staff and partners on procurement procedures

    Contracts and Compliance

    The Operations and Grants Manager will also oversee contract management and compliance, including:

    • Drafting and reviewing contracts, agreements, and MoUs
    • Ensuring compliance with legal and donor requirements
    • Tracking contract deliverables and renewal timelines
    • Maintaining organized documentation systems

    Additionally, the role involves providing guidance to staff and partners on risk mitigation and compliance best practices.

    Cross-Functional Collaboration

    The role requires close collaboration with Finance, Programs, and Senior Management teams to align operations with organizational goals.

    Key cross-cutting functions include:

    • Supporting audits and donor verification processes
    • Identifying operational and financial risks
    • Improving internal systems, tools, and workflows
    • Leading capacity-building initiatives for staff

    Key Deliverables and KPIs

    Success in this role will be measured through:

    • Up-to-date operational policies and SOPs
    • Effective grants tracking and compliance systems
    • Transparent procurement processes and documentation
    • Comprehensive databases for vendors, partners, and contracts
    • Strong collaboration and team contribution

    Qualifications and Experience

    GRP is seeking candidates with:

    • An advanced degree in Business Administration, Finance, Law, Procurement, or International Development
    • 5–7 years of experience in operations, grants management, procurement, and contracts administration
    • Strong knowledge of donor regulations (e.g., EU, UN, foundations)
    • Proven experience in compliance monitoring and multi-stakeholder coordination
    • Excellent organizational, communication, and problem-solving skills
    • High attention to detail, integrity, and ability to work under pressure

    Priority will be given to candidates from ODA-eligible countries, aligning with GRP’s commitment to inclusive hiring.

    Contract Details

    • Start Date: June 1, 2026
    • Duration: 6 months (with one-month probation and potential renewal)
    • Type: Full-time contractor (40 hours per week)
    • Salary: $5,000–$6,000 per month
    • Location: Remote (optional base in South Africa)
