Overview
War Child Netherlands is seeking a Support Officer Institutional Funding to support the Institutional Fundraising team in operational effectiveness, workflow optimization, and information/data/contract management.
Key Responsibilities
- Provide administrative support for institutional funding processes.
- Draft internal agreements, funding agreements, sub-grant agreements, and amendments.
- Coordinate contract approvals and signatures.
- Track contract status, key milestones, and ensure archiving.
- Support proposal and report submissions by compiling documentation and ensuring compliance.
- Support daily administrative and operational processes for institutional fundraising and project management.
- Identify and improve inefficiencies in workflows and grant management guidelines.
- Coordinate internal workflows, track deadlines, and follow-ups.
- Represent the IFNP team in coordination with the international organization.
- Prepare quarterly and routine reports.
- Conduct spot checks in the grant management system for data quality.
- Monitor data consistency across systems and flag discrepancies.
- Organize and archive project and donor documentation.
Requirements
- Background in project management, business administration, or related field.
- Relevant experience in project management and project support.
- Experience in data and information management within projects.
- Familiarity with the project and grant lifecycle.
- Basic knowledge of information systems (SharePoint, Salesforce, Power BI preferred).
- Understanding of administrative and operational organizational processes.
- Knowledge of quality assurance and compliance processes.
- Basic understanding of contracts, agreements, and donor requirements.
- Insight into budgeting and basic financial management.
- Fluency in Dutch and excellent command of English (written and spoken).
- Strong planning, coordination, and reporting skills.
- Effective time management and organizational capacity.
- Careful handling of donor, project, and financial information.
- Systematic document management and archiving.
- Ability to follow procedures and checklists consistently.
- Proficiency in Excel and Microsoft Office.
- Capacity to identify process gaps and propose improvements.
- Experience supporting meetings (agenda setting, minute-taking, follow-ups, information sharing).
