    Overview

    War Child Netherlands is seeking a Support Officer Institutional Funding to support the Institutional Fundraising team in operational effectiveness, workflow optimization, and information/data/contract management.

    Key Responsibilities

    • Provide administrative support for institutional funding processes.
    • Draft internal agreements, funding agreements, sub-grant agreements, and amendments.
    • Coordinate contract approvals and signatures.
    • Track contract status, key milestones, and ensure archiving.
    • Support proposal and report submissions by compiling documentation and ensuring compliance.
    • Support daily administrative and operational processes for institutional fundraising and project management.
    • Identify and improve inefficiencies in workflows and grant management guidelines.
    • Coordinate internal workflows, track deadlines, and follow-ups.
    • Represent the IFNP team in coordination with the international organization.
    • Prepare quarterly and routine reports.
    • Conduct spot checks in the grant management system for data quality.
    • Monitor data consistency across systems and flag discrepancies.
    • Organize and archive project and donor documentation.

    Requirements

    • Background in project management, business administration, or related field.
    • Relevant experience in project management and project support.
    • Experience in data and information management within projects.
    • Familiarity with the project and grant lifecycle.
    • Basic knowledge of information systems (SharePoint, Salesforce, Power BI preferred).
    • Understanding of administrative and operational organizational processes.
    • Knowledge of quality assurance and compliance processes.
    • Basic understanding of contracts, agreements, and donor requirements.
    • Insight into budgeting and basic financial management.
    • Fluency in Dutch and excellent command of English (written and spoken).
    • Strong planning, coordination, and reporting skills.
    • Effective time management and organizational capacity.
    • Careful handling of donor, project, and financial information.
    • Systematic document management and archiving.
    • Ability to follow procedures and checklists consistently.
    • Proficiency in Excel and Microsoft Office.
    • Capacity to identify process gaps and propose improvements.
    • Experience supporting meetings (agenda setting, minute-taking, follow-ups, information sharing).

    Benefits

    • Salary between €3,052 and €3,795 gross per month.
    • 8% holiday allowance.
