Position Summary
AWIU is seeking a highly organized and proactive Program & Operations Coordinator to support the organization’s programs, events, grants, and internal operations.
This part-time role offers an opportunity to contribute to impactful initiatives supporting women’s leadership globally while gaining valuable experience in nonprofit program management.
Key Responsibilities
Event and Program Coordination
- Manage registration platforms such as Eventbrite for organizational events
- Coordinate event logistics including speaker bios, RSVPs, and venue arrangements
- Prepare and distribute event materials like certificates and fact sheets
- Support delegation applications, payments, and follow-up communications
Grant Administration
- Administer grants via the SmarterSelect platform
- Assemble grantee packets and track progress reports
- Assist in compiling the annual grant report
Sponsor, Donor, and Member Engagement
- Manage communications and invoicing with sponsors and recruiters
- Track pledges and donations for events and initiatives
- Support development of patron and sponsor materials
- Oversee dues collection, member onboarding, and maintain member data
Communications and Publications
- Assist with drafting and distributing organizational communications such as newsletters, save-the-dates, and surveys
- Manage email platforms like Mailchimp and coordinate website updates
Internal and Administrative Support
- Support the Executive Director with various administrative tasks
- Prepare meeting materials and minutes for the Board of Directors
- Maintain key organizational documentation and manage correspondence
- Handle scheduling, reporting, and vendor payments
Qualifications
- 2–4 years of experience in nonprofit administration or program coordination
- Strong organizational and time-management skills with meticulous attention to detail
- Proficiency in digital tools such as Mailchimp, Eventbrite, Monday.com, Microsoft Office, or Google Workspace
- Experience with CRM, email marketing, and grant platforms (e.g., SmarterSelect) is a plus
- Excellent communication and interpersonal skills
- Ability to work independently and handle confidential information discreetly
