    Position Overview

    Global Artivism is seeking an experienced Project Manager to support workflow coordination, operational systems, contract processes, and organizational infrastructure across the Movement Secretariat.

    This role is pivotal in maintaining the operational backbone of the movement, ensuring seamless project tracking, vendor coordination, documentation, and cross-team collaboration.

    Key Responsibilities

    Workflow & Project Coordination

    • Track deliverables, timelines, and coordinate across the Secretariat and partner workstreams
    • Maintain project documentation and organizational records

    • Proactively identify and resolve bottlenecks and coordination gaps
    • Support preparation of internal briefings, meeting agendas, and status updates
    • Own project management tools (e.g., ClickUp) for the Secretariat

    Contracts & Vendor Management

    • Coordinate contract processes for consultants, vendors, and partners
    • Maintain contract trackers and compliance documentation

    • Liaise with the Fiscal Sponsor on contract submissions and processing
    • Support onboarding and offboarding of contractors
    • Manage vendor contact lists and relationships

    Financial Operations Support

    • Support expense tracking, invoice coordination, and financial documentation
    • Assist with budget tracking and financial reporting in collaboration with the Fiscal Sponsor
    • Flag discrepancies or process issues

    Systems & Tools Management

    • Maintain operational tools including ClickUp, Google Drive, Slack, and Humaans
    • Document operational procedures and support implementation of new systems
    • Manage information architecture in shared drives

    Secretariat Coordination

    • Serve as operational point for cross-functional processes
    • Prepare materials for Secretariat and Global Council meetings
    • Assist with organizational planning and operational tasks

    Qualifications

    Required

    • Experience coordinating workflows, contracts, and vendor management in distributed environments
    • Strong organizational skills and multi-tasking ability
    • Familiarity with digital collaboration and project management tools (ClickUp, Google Workspace)

    • Discretion and judgment handling sensitive information
    • Ability to operate independently, managing own schedule and compliance
    • Commitment to Global Artivism’s values and principles

    Preferred

    • Experience in international NGOs, social movements, or civil society
    • Knowledge of fiscal sponsorship and contract compliance
    • Experience with expense management platforms (e.g., QuickBooks)
    • Multilingual skills and experience supporting remote teams

    Contractor Status & Compensation

    This is an independent contractor role, with the contractor responsible for their own taxes, insurance, and compliance.

    The monthly fee ranges from USD $2,500 to $3,500, payable via invoice.

    The role involves flexible scheduling with participation in scheduled meetings across multiple time zones.
